This page explains, in plain language, how the AI-powered tools on Encase Tools work, what happens to the text you submit, and what your rights are.

1. Who We Are

Encase Tools is operated by Green Letter Technologies Pvt. Ltd. (“we”, “us”, or “our”).

2. These Tools Are AI Systems

Every output you see — extracted keywords, resume suggestions, LinkedIn bios, cold emails, and similar results — is generated by a large language model, not written or reviewed by a human. AI-generated content can be incomplete, out of date, or simply wrong. Always review and verify outputs before you rely on them or send them to anyone.

3. Purpose and Non-Use

Outputs are generated solely for your own use — to help you write or improve your own resume, LinkedIn bio, or cold email, or to analyse a job description. Your submissions and the outputs generated from them are never shared with employers or recruiters, and Encase Tools makes no hiring, employment, or candidate-evaluation decisions of any kind.

4. What We Capture and How We Process It

The text you submit — job descriptions, resume text, or details for a bio or email — is sent to a third-party AI provider (such as OpenAI or Anthropic) solely to generate the result you requested. Those providers process submitted inputs and generated outputs under their own privacy policies. We may also collect limited technical information, such as IP address and browser type, as described in our Privacy Policy.

5. No Audio, Video, or Biometric Data

Encase Tools' career tools are entirely text-based. We never request or collect audio, video, webcam or microphone input, or any biometric or facial data.

6. What Is Stored vs. Discarded

Consistent with our Privacy Policy: Encase does not retain tool inputs or outputs after processing. We do not maintain a history of your queries or tool outputs. Third-party AI providers may process that content under their own retention policies. For non-tool routes, our API server records only transient operational metadata (HTTP method, path, status code, response time) for monitoring and debugging — never your submitted content.

7. Third-Party Processors

The AI provider named in section 4, and Cloudflare, which hosts this site (Cloudflare Pages) and, for non-tool routes, records transient operational logs subject to Cloudflare's standard log retention policy.

8. Cross-Border Transfers

Processing by the providers above may occur outside India, including in the United States, under contractual safeguards consistent with India's DPDP Act and, where applicable, the GDPR's standard contractual clauses.

9. Your Rights

Under India's DPDP Act 2023 and, where applicable, the GDPR, you have the right to access, correct, or request deletion of any personal data we hold about you. To exercise these rights, please contact us at [email protected].
